Changing Scheduler Specific Reminder Settings

It is important to configure the settings in the 'Options' tab of the 'Reminders and Statements' window before generating reminders using the scheduler. These settings do not apply when reminders are manually generated.

The settings in the 'Options' tab are:

  • How to group the reminders once generated.
  • How to sort the reminders once generated.
  • Configuring whether reminders are sent on closed days.
  • Whether to resend a reminder to borrowers at the maximum reminder number.
  • Which group reminder to send when using the scheduler.
  • Which statement reminder to generate when using the scheduler.

In Management, click 'Settings' from the top menu then select 'Reminders & Statements...' then click the 'Options' tab.

When reminders are 'Printed' they are in fact generated as a PDF with one page per reminder, depending on the number of borrowers you have this could result in a rather large document. To make it easier to find specific borrowers and group reminders together once physically printed, you can choose from the options in 'Group reminders by' and 'Sort reminders by' to group and sort the reminders into a more manageable order. For example you can group by tutor group so that you can print them off and give them to the tutors to pass onto their students, you can then sort them alphabetically by surname within that group so that the teachers can hand them out with the register. Or you could sort them by days overdue so that the teachers are made aware of the students in their class that are not bringing their books back. 

Tick or untick the box for 'Do not send on closed days'. Closed days are defined within the calendar. If this option is ticked then reminders will not generate automatically if the reminders would send on a closed day.

Tick or untick the box for 'Reprint last reminder when limit reached'. If a borrower is at their maximum reminder number then this defines whether or not the last reminder is sent a second time and again every time thereafter until the resource is returned.

Select from the menu under 'Group Reminders' to define which reminder is used when generated on the scheduler. Unlike individual reminders that are sequential, group reminders have the same reminder generated each time. 

Select from the menu under 'Statements' which statement reminder to generate when using the scheduler to run the statement reminders.

If any changes are made, click 'OK' to save them.
