Recycling and Deleting Borrowers

Tip: Streamline your student data management with Intake. Find out more here

When an individual borrower leaves the school you can manually remove and delete them from the library system. When a large number of students leave, such as at the end of the year, you can remove them in bulk.

Recycling Borrowers

Recycling your borrowers does not permanently delete the record, it moves them to a recycle bin and stores them there to allow you to run reports on historic data.

Click 'Borrowers' on the toolbar on the left.

Locate the borrower in the list. This can be done several ways but the fastest way is to type the name into the 'Quick Search' box in the top-right corner of the Management page and press 'Enter'.

Click on the row to highlight the record then click 'Remove' on the right.

A prompt will display asking to confirm if the record should be removed. Click 'Yes' if this record should be removed or 'No' to cancel.

To remove multiple borrowers in one go, ensure they are all selected and flagged before clicking 'Remove'.

Deleting Borrowers

Once borrowers are removed, they are retained in the Recycle Bin until deleted. This is to allow you to run reports spanning multiple years worth of data including data based on the borrowing history of borrowers that are no longer at the school.

This may not always be the case however and if this data is not required the borrowers can be permanently deleted from the recycle bin.

Delete Borrowers with caution. If they are deleted, all associated loan history for any resource(s) that they borrowed will be lost which will be reflected when reporting on historic data.

Open the 'Borrowers' table from the tool bar on the left.

Click 'Recycle' from the right-hand menu.

The recycle bin will be displayed showing all currently recycled borrowers.

Highlight the borrower(s) to remove and click 'Delete' on the right.

A prompt will display advising that all past loan data for the borrower(s) will also be deleted.

Click 'Yes' only if absolutely sure. These changes are irreversible.
