Global Update

The options on the 'Global Update' tab of Password Manager can be used as a quick and easy way to update borrower usernames and/or passwords. A borrower is assigned a logon name and password so that they are able to log into the Reading Cloud library system allowing them to review books, reserve ones they would like to read and generally encourages them to use the system.

 

Log into the library system as an administrator and click 'Manage Library' or 'Librarian Only'. Once in Management, click 'Security' in the top menu and then select 'Password Manager', then click the 'Global Update' tab.

Start by selecting the Tutor Groups to update from the 'Tutor Groups' list, only groups that are selected will be updated.

You can hold CTRL on the keyboard and click each group to select more than one at once.

Next, click the 'Logon Name' box and choose a username format to allocate to the borrowers.

Borrower Barcode

Selecting borrower barcode will assign the borrowers their barcode as their logon name. So for instance, if a user has the number 49930 as their barcode number (which can be viewed from a borrower record card or the borrowers table) this will set "49930" as their logon name.

Borrower e-mail

This option will allocate each user their email address as their logon name. This is dependant on the email address being present in their record beforehand. The most common ways to do this is by using a CSV file. If you choose not to populate the borrower's email addresses, do not select this option for logon names.

Current Logon

When selecting Current Logon, this retains the logon that may already be on a borrower record. This is used to retain the current logon name when allocating everyone a new password or when a CSV was previously used to import logon name.

If allocating the borrower barcode as their logon name, it may help to print reader cards for them too.

After choosing a logon name, choose how to allocate a password under the 'Password' section.

The are 4 different password options to select from, Custom Password, Date of Birth, Barcode and postcode. The chosen option will update each borrowers password with this value.

'Custom Password' allows you to set the same password for all selected borrowers, this is useful when assigning students their logon details for the first time, however we strongly recommend that you encourage your borrowers to change their password to something unique to them. 

'Borrower Birth Date' assigned the borrowers date of birth as their password without any punctuation between the numbers. For example, if a borrower's date of birth is set to 09/12/1999 then their password would be 09121999. For this to work successfully, it is essential that this data is correct on the borrower record cards. 

'Barcode' and 'Postcode' set the password to just that, the borrower's barcode, or their postcode if it is present in the borrower's record card. 

'Custom Password' obeys the password complexity requirements, the other three options however do not. 

Click 'OK' and the settings will be applied to the borrowers in the selected tutor groups. Depending on how many groups you have selected this could take some time and it may appear that the system has crashed. It is however just applying the logon details in the background, once it is finished a prompt will appear on screen to inform you. 

Once a username and password is assigned to a borrower, they can then log in to the home page and the Reading Cloud app to access their account.
