Staff Change Handover Process

Whether you are the exiting librarian or the new member of staff taking over the library there are a number of tasks that should be carried out to allow a smooth takeover of the library. 

 

Password and Recovery Email

The first thing to do is ensure that the new librarian is able to access the system. Log into the library system with your administrator credentials and load Management. Select 'Security' on the menu bar at the top of the page and then 'Change Password...'. 

Enter your current password in the top box, then allow the new staff member to enter a new password into the other two boxes. They now have admin access to management. 

The next step is to set a new recovery email in the settings. While still in Management, select 'Settings' on the menu bar at the top of the page, then select 'General...' from the list and then the 'School Details' tab. 

Replace the email of the exiting librarian with the one of the new member of staff and press 'OK' to save it. The new member of staff will now be able to do a password reset if they forget their password. 

 

Other Things to Change

The Librarian email address needs to be changed in the social settings to allow students to contact the new librarian. While in Management, select 'Settings' on the menu bar at the top of the page then select the 'Module Settings' option then 'Social Settings'.

On the box that loads, enter the new staff member's email address into the 'Librarian Email Address' box and press 'Save'.

If you have signed your reminders with your name and/or contact details, these will also need to be updated. On the menu bar in Management, select 'Settings' then select 'Reminders and Statements...'.

Select each reminder and then press 'Edit' to open it. Change the details in the reminder template to reflect those of the new member of staff then press 'OK'. Repeat for each reminder until all are updated.
