Adding Students to the Library
Purpose
How to add new student records to Reading Cloud, and then create Borrower records for them

When to Do This
At the start of a new academic year. After exporting a CSV from your MIS, but before setting up student logins.
Instructions
There are three ways to import your student data - via automatic sync, via CSV or manually adding individual students.
Importing via automatic sync (Wonde)
If you have an automatic sync set up between Wonde and Reading Cloud, this runs automatically each morning and will pull through new student records when they are on-roll. This typically happens within 24-48 hours of them attending their first day.
This means your student records will automatically appear in the Intake table. For further information on the automatic sync, see the article How Wonde Works.
Records imported via Wonde are not automatically added to the Borrowers table - this step must be done manually. This being the case, you can check the Intake table to see if the students have been imported. If so, you can move on to the Transferring step.
Importing via CSV
If you are going to import a CSV, you must prepare your database first.
First you must remove any old groups, or leavers. This can be done through the Tutor Group table, and the Move To options. Please follow the steps in the Move a Tutor Group article.
Once the Leavers have been removed, you can then import your CSV into the Intake table.
When the import is complete, the Intake table will display all the records that were imported. You can then move ahead to the Transferring step.
Manually Adding Borrowers
If you are going to input the student records manually, you need to complete a few steps first.
You will need to remove any old groups and leavers. This can be done using the Move To feature in the Tutor Groups table.
Once the leavers have been removed, you will need to create any new Tutor Groups that are required.
When all the necessary groups are in place, you can then start to add your new student records into the Borrower's table. Once all are added, your borrowers are then live.
Transferring
Once your CSV has been imported, or the automatic sync has pulled in your student records - they will be placed into the Intake table.
The records need to be transferred into the Borrowers table. The students can all be transferred at once. However, before you do so, it is important to check that the records shown feature new students only.
Any students listed who have an existing borrower record must be matched with their existing record first. This helps prevents the creation of duplicates.
When you are satisfied that the Intake table only contains new student records, you can then transfer them to the Borrowers table.
Tips
- Always move tutor groups and remove leavers before importing a CSV or adding students manually.
- If adding Borrowers manually, ensure that all required Tutor Groups have been created first.
- With Wonde, check the Intake table when expecting new students.

A: Yes – treat staff as borrowers. They can be added in the same way students are.
