Creating a Student Librarian Account

Purpose

Providing specific access to Borrowers.

Covers: Security group and assigning.

Does not cover: Printing cards or labels, restriction settings or resource restrictions.

 

When to Do This

After student records are correct and logins are active.

 

Instructions

Student librarian accounts enable you to give certain students access to circulate so that they can issue and return books, but without them having full access to the circulate function or access to management. 

 

Creating a Security Group

To create the security group for student librarians, log into reading cloud as an administrator user and load the Management page. On the menu bar at the top of the page, select 'Security' and then select 'Group Manager...' from the list. If Group Manager is not an option in the list, you are not logged in as an administrator. 

On the Group Manager screen, click 'New' to start creating a new group. Give the group an appropriate description that you will easily remember. 

The next task may take you quite a while, but it is important that this is done carefully. 

You need to go through the list, making sure to set each permission. All permissions under 'Menus' and 'Toolbars' need to be set to 'No access' or 'Hidden', depending on the options.

The options under 'Commands' will need to be set to either 'Yes' or 'No' depending on your personal preferences. You will likely want to set the majority of them to yes, but the only ones that are fixed are the following:

  • Can Access Circulate = Yes
  • Can Access Management = No
  • Can Access Sensitive Data = No
  • Allowed to view student details = No

Once you have set all the permissions correctly, click 'Save' at the bottom of the box then 'OK' on the 'Group Manager' box. 

 

Assigning the Security Group

Load the Management page and select 'Borrowers' on the left. Use quick search to find the borrower that you wish to make a student librarian and double click them to load their record card. 

Select the 'Advanced' tab, then in the 'Security Group' box, find the group you have just created and select it. Now select 'Save' at the bottom of the record card to save the changes. 

 

Tips

- Keep restrictions minimal to avoid blocking legitimate access.

- Test permissions with a sample borrower account.
