Purpose
To answer some frequently asked questions regarding the Stock Check function.
Can I add new resources and continue to issue/return books while stock check is taking place?
We advise you do not issue/return or add any new resources to the library during a stock check as the stock check is not a live process. This means newly added or returned resources won't be included in a stock check that has already been created.
Any resources that are included and issued before being checked into the stock check will be removed from the catalogue when the stock check is complete.
If unable to do an entire catalogue stock check due to time or access constraints, we advise you create smaller 'conditional' stock checks based on a specific class range, author surname range, reference material only or the other fields available.
Is it possible to create a Stock Check for a specific section of the library only?
You can create a stock check for only part of the library using the filters at the start of the creation process.
After creating a stock check you will be presented with a box which allows you to define the parameters of the stock check, the default search is the entire catalogue but if you would like to filter it down you can do so by using one of the options such as class range, fiction author range, just reference books, level, location, media or owner.
Using a smaller subset of the library for a stock check allows the issuing and returning of most resources to continue whilst checking a certain section of stock. It also allows for the stock check process to take place over a longer period of time.
Can I have multiple Stock Checks open at the same time?
If you are planning to carry out multiple stock checks at the same time (separated by location or fiction author for example) then this can be done. We do not recommend having multiple stock checks of the whole library catalogue.
Can multiple filters be used when creating the Stock Check?
When creating a new stock check there is currently no provision for using more than one of the filter options. We are sorry for any inconvenience caused by this.
How will Current Loans affect my Stock Check?
After selecting the resources to be stock checked, tick or untick the 'Exclude Items on Loan' tick box depending on whether you wish to include these as items to be checked or not.
Remember, items that are not scanned or marked as checked, are counted as missing at the conclusion of the stock check. If you opt to include resources on loan and they are not scanned in, the items will be marked as missing and removed from your catalogue.
Can the 'Exclude Items on Loan' option be enabled after the Stock Check has been created?
Unfortunately not, all options on a stock check must be enabled before the stock check is created.
If you have made a mistake in the creation process, the only option would be to delete the stock check and create a new one with the correct settings.
I have scanned a Resource which was not in the Stock Check, what will happen to it?
When a resource that is not part of a stock check is scanned it will be brought into the stock check and added to the checked items list. The number of checked items will increase but the number of unchecked items will not decrease.
Can I see which Resources have been sent to the Recycle Bin after my Stock Check has been completed?
On the stock check 'Edit' window, select the 'Missing Items' tab. When the stock check is completed any items displayed on the missing items tab will be moved to the 'Recycled Records' section of the Resources table. This can be found by selecting 'Resources' on the left-hand side of management and then 'Recycled Records' under 'Records'.
