Using Stock Check

Once you have created a new stock check or opened an existing one, it's time to start using the stock check.

There are a number of features to use in a Stock Check:

In addition to using a mouse, keyboard or barcode scanner, it is also possible to use the Reading Cloud Mobile App to greatly speed up the process of checking items.

Checking Items in Stock Check (Barcode Scanner)

Before scanning resources, make sure that the 'Checked Items' tab is on screen.

Begin scanning the barcode number of the books, this is typically stuck on the front of the book or on the inside cover; this is not the 10 to 13 digit ISBN on the back cover. Notice that as each resource is scanned, it is added to the 'Checked Items' list and the 'Checked' number increases while the 'Not Checked' number decreases.

Continue scanning items until all books that are on the shelf have been scanned.

Checking Items in Stock Check (Keyboard)

If a scanner cannot be used or a barcode cannot be scanned then the Keyboard can be used to type the number into the stock check using bulk scan.

Click the 'BulkScan' icon from the stock check interface.

The 'BulkScan' box will appear.

Checking Items in Stock Check (Mouse)

It is also possible to check items using the mouse.

Select the 'Missing Items' tab.

Select the resource to mark as checked and click the 'Check' icon.

The resource will be added to the list in the 'Checked Items' list and the counter under 'Totals' will change accordingly.

You can use the search box to find a specific resource if you are unable to find it by scrolling.

Unchecking Resources

You can move items from the 'Checked Items' list back to the 'Missing' List. For example, an item is scanned as it is on the shelf but you then decide to discard the item from the library due to it being damaged.

To remove an item from the 'Checked Items' list, first locate it in the 'Checked Items' list.

Click on the row so it is highlighted and click 'Un-check' from the stock check toolbar and the resource will be moved to the 'Missing Items' list.

Removing Resources From Stock Check

You can remove a resource from the stock checking session completely when the resource shouldn't be included. This is sometimes required when all items on the shelf have been scanned and the missing items list is being reviewed. There may be items that have been classified incorrectly for instance and should not be in the Stock Check.

Click on a resource in any tab ('All Items', 'Checked Items' or 'Missing Items') to highlight it.

Click 'Remove' from the toolbar in order to remove the selected resource from the stock check completely. This will not remove the item from the library system, it will only be removed from the stock check.

Selecting Multiple Items

Use 'Flagging' to highlight more than one resource simultaneously. This can be used from all three tabs and it allows you to either 'Check', 'Un-check' or 'Remove' multiple resources at the same time.

To begin, click on the 'Flag' icon from the desired tab.

An additional tick box column will be added to the left of the stock check grid.

Simply click on the boxes corresponding to the resources to select them.

Flagged resources are indicated by the tick mark.

It is then possible to alter these items all in one go. Click the icon relating to the process you wish to carry out.

Alternatively, you may want to click 'Flagged Only', which will display only the items that were flagged. This is helpful when you wish to print the flagged resources.

Saving a Stock Check

Saving a stock check is done automatically for you. The stock check is immediately updated and saved with every change you make. Should you wish to close the stock check window and resume the stock check later, you can click 'Close' in the bottom right corner or the 'X' in the top right corner. Doing this will not discard any changes you have made to your stock check since it was opened.

Once you have finished checking your resources, your stock check can be completed.
