Adding a Single Borrower
Purpose
To outline the process of manually creating a borrower record.
Covers: Creating an individual record.
This section does not cover: Creating tutor groups and moving borrowers up a year.
When to Do This
After removing leavers and creating any new groups, before assigning borrower login credentials.
Instructions
Once all of the tutor groups have been added to the system, the borrowers can be added. This process can be repeated until all borrowers are added to the system and is useful when you need to add a small number of borrowers. However, to add a large number of borrowers, it is often more efficient to use an automated method or a CSV file.
The method below shows how to add a new individual child or student to the system as a borrower.
Before adding any borrowers to the system, the tutor group the borrower is going to be a member of must already be present on the system.
Click 'Borrowers' on the left-hand menu then 'New' on the right-hand menu.
The 'New Borrower' screen will appear.

Scan or type the barcode that is to be assigned to the borrower or press 'Auto' to allow the system to automatically assign a borrower barcode.
The automatic borrower barcode options define the rules of how the system generates this automatic number.
If you have selected 'Auto' or scanned a barcode, the 'Borrower' record card will open, if you have typed a barcode, click click 'Continue' to load the borrower record card.
Barcode number shown in image below is an example.

Fill in the fields as necessary, only 'Surname' and 'Group name' are mandatory, the rest are optional.
There is quite a lot of data that can be entered onto a borrower record, some of which is not shown on the first tab. Other information can be entered onto the 'Advanced' and 'Notes' tabs, address and guardian data for the borrower can also be added onto the 'Address', 'Guardian 1' and 'Guardian 2' tabs.
Once all the necessary fields have been entered, click 'Save' to save and exit.
Typical usage is that a borrower record represents one individual, whether this be student or staff member. Some schools create borrowing records for an entire class, so resources can be issued to a single classroom. Create a record as per the instructions above, but name the record with the class name to make it clearly identifiable. Other information can be added as required, but this will require a Year Group and a Tutor Group to be set. Creating a class borrower account like this will mean that it is included in any borrower or loan reports generated.
