Reminder Options

As well as being able to change the content of the reminders, it is also possible to specify the recipient, define the method to send the reminder and change the orientation & margins. Different settings can be applied to each reminder. It is not uncommon for example, that the first few reminders are printed and handed to the borrower but the final reminder is emailed directly to the borrower's guardian.

Access the reminder editing window for the appropriate reminder.

Select the 'Options' tab.

 

Send the Reminder to 

This is the recipient, a reminder can be sent directly to the borrower or can be sent to the guardian (1 or 2).

Click the arrow on the 'Send the reminder to' box and select the person that this reminder should be sent to.

 

Output to

Defines whether the reminder is emailed or printed (or emailed and printed).

Select one of the four options to define the desired format for that reminder.

 

Only E-Mail

This will email the reminder to the user set on the 'Send the reminder to' option (Borrower, Guardian 1 or Guardian 2). For group reminders this will always be sent to the email address specified on the tutor group record card. If no email address is present in the record card, nothing will be generated. 

 

Printable file Only

This will generate a PDF document which can be retrieved from the output table.

 

Email OR Printable file

If this is selected the reminder will initially check who the email should go to (borrower, guardian 1/2 or tutor group), if there is no email set for this user then a PDF will be sent to the output. In short it does not both email and print the reminder, it tries to email it and if it can't, it prints it.

 

Email AND Printable file

This option will email the reminders to the borrower or guardian if there is an email address present, but either way it will also generate a print out of all reminders. 

 

It is possible to override the output settings when sending reminders manually. If they have been scheduled then the settings defined here are used. 

 

Orientation

Changes whether the reminder is generated in landscape or portrait format.

Select the orientation from the box.

Enter the appropriate values into the margins text boxes. The reminder can be previewed at any time by clicking 'Preview...' at the bottom of the box.

Click 'OK' when the changes have been made to save them.
