Altering the Reminder Grid

Purpose

To detail the editing of the Grid appearance in Reminders

Covers: Amending options and fields within the grid of a specific reminder

Does not cover: Creating new reminders, sending reminders


Instructions

The grid is shown on a reminder when it is generated. It is possible to customise this grid in a number of ways to include other information, such as price or the date the book was due.

Altering the Grid Display Fields

Access the reminder editing interface.

Click on the 'Grid' tab.

Controlling what fields display on the grid is very similar to adding fields to a page view. Firstly, select a single field from the list of 'Available Fields' in the left box.

Once the field is selected, click the right arrow  symbol.

The field is then moved to the right box to show it will be displayed on the grid.

To alter the order of the grid display fields, click on a field from the right box and use the up and down arrows to move the order. 

Ticking 'Include Resource Image' will add a field to the grid, and show a small photo of the cover if this is included in the Resource record. 

Click 'OK' to save any changes and return to the 'Reminders & Statements' screen.

Before running and printing reminders you can preview the reminder to ensure the changes are exactly how you want them. 

 

The Grid on the generated reminder is untidy

If the reminders have been printed and the grid is showing untidy in the PDF, then this is an issue with the reminder pulling the data from the database. To correct this, we can remove, then re-add the field in question to the grid layout. 

  • Log into the Reading Cloud system as the administrator (not librarian).
  • Open the Management/Librarian Only area.
  • From the top of the page select 'Settings'.
  • From the menu select 'Reminders and Statements...'.
  • Select the reminder having the issue.
  • Select 'Edit' on the right.
  • Select the 'Grid' tab.
  • Select any field in the box in the middle.
  • Click the arrow key pointing to the left to remove it from the list.
  • Select the same field from the box to the left.
  • Press the arrow pointing to the right to put it back.
  • Use the up and down arrows to rearrange the order of the fields to how you want them.
  • Press 'OK'.

Now when you run the reminders again the grid will display correctly.
