Issuing or Returning a Project Box

Purpose

This article outlines the processes for issuing or returning a project box

Covers: Issuing a Project Box, Returning a Project Box

Does not cover: Creating a project box

Issuing a Project Box

You can issue a project box using circulate in much the same way you issue normal resources, however you can also do it directly from the project box record card itself.

Open the project box from within management and select the 'Issue' button.

A box will appear that shows the information of the box. Scan the borrower's barcode or press 'Find...' and locate them in the list, once selected their information will show in the bottom half of the box. When you have confirmed these details are correct, click 'Issue' to issue the box. You can then print the dispatch documents from the bottom of the window as a receipt.

Returning a Project Box

There are a number of ways to return a project box, we advise returning items one at a time or in small batches to ensure all books are present and correct as you go.

Manually

The usual way to return resources in a project box is from within the project box itself.

You can just open the project box and scan the resources, they will return as you scan them. You can also click each resource in the list and press the 'Check in' button.

If you are having difficulty finding the resource you can type its barcode or title into the quick search box to find it.

If you would rather do a few at once you can click on the 'Bulk Scan' icon to open the bulk scan interface. Here you can scan or type the barcodes of a few resources and then press the 'OK' button to return them at once.

Circulate

If you would rather use circulate to return your project box, you can. Ensure the 'Allow Project Box items to be returned in circulate' option is ticked in the restriction settings.

Once this is ticked you will be able to use multi-return to return the resources within a project box. You can return the whole box via the normal circulate but not individual resources, this can only be done using multi-return.

If you do not want to use circulate, untick the option and you will be prompted with an error if you try returning a project box item in circulate.

Trusted Check-in

Trusted check in is a way of returning a project box all at once instead of one item at a time.

If you wish to use trusted check in, you will first need to ensure the 'Allow Project Box Trusted Check-ins' option is ticked in the restriction settings. Once this option is ticked you will see the 'Trusted' icon displays on the project box when the box is on loan. Pressing this button will return the box and all resources in one go.

We advise caution when using this option as books could easily go missing if you do not check each of them back in. Checking the resources in one at a time allows you ensure all the resources are present and correct as you go. The trusted check in feature is best used in situations where you are already confident that all the books are there, if you have collected the box from another location and checked the books there using the dispatch document for example. It can also save you a few seconds when the box contains only a small number of resources and a quick looks confirms they are all present.
