Quick Replace

Purpose

To explain the usage of Quick Replace within the system

Covers: Editing various fields within the database using Quick Replace

Does not cover: Deletion of resources or borrowers


Instructions

Quick Replace is used to update and delete information in record cards. 

  • Select the database that you would like to use Quick Replace on (Borrowers or Resources)
  • If you wish to affect only specific records, choose the appropriate view, select specific items using flagging, or use Advanced Search to filter to specific items.
  • Select 'Tools' on the menu bar at the top of the page and select 'Quick Replace...'
  • You will then need to select the 'Field' that needs altering
  • Next to Field, you will see two options. 'All Records' will show values from every resource in the database, and allow you to change this for all instances. 'Filtered Records' will mean any changes will only apply to items in the current page view.
  • Select the 'Value' that is to be altered
  • After the value has been selected, either type a new value into the 'Replace With' box or leave the box blank to remove the value
  • Press 'Replace' to action this change

For example, you could use this to change resources that had been incorrectly catalogued under the author name "Jay Kay Rolling" to "J K Rowling".

The options within Field will vary depending on the Table you are currently viewing, so ensure you are on the correct table for the changes you wish to make. 

Changing Multiple Values

Quick Replace changes a specific value to another. It cannot be used to replace one value with multiple different ones. If you wish to do this, you will need to first use Quick Search, Advanced Search or a Page View to filter the table to one group for one value change, then use the 'Filtered Records' option in Quick replace to change the required value. Then filter to another group, and change the value for the other option.

For example, if you wished to change the location of a group of resources from "Science Class" to "Physics", "Biology" & "Space", you would need to filter your list of resources first to just the resources you wish to change to "Physics" and change them. Then you would filter to the resources moving to "Biology" and change them. Each group to be changed would need to be filtered and then amended separately. 

Quick Replace can be used on Borrower records, but cannot be used to update Year Group or Tutor Group information - this must be done manually, imported via a CSV or through Wonde. Quick replace can only be used to edit records, not remove or delete them from the database.
