Exporting a CSV - Progresso

Purpose

This article provides comprehensive guidance on exporting student data exclusively from a Progresso database.

Covers: Clear, step-by-step instructions for exporting a CSV file from your Progresso database, including links to relevant Knowledge Base articles for importing your CSV file and guidance on adding any additional fields as required.

Does not cover: This article does not cover the removal or archiving of former borrowers.

 

When to Do This

Start of academic year, before importing a CSV, moving tutor groups, or removing leavers.

 

Instructions

You can export a CSV file from Progresso which can be imported directly into the library system. 

Open Progresso and choose the 'People' tab, then select either a list of 'Learners' or 'Staff' members. For a list of students, click 'Learners'.

At the bottom of the page, click 'More Actions' then 'Manage List View'.

This opens a window where you can customise the columns on the 'Learner' list. Choose from the available columns on the left-hand side and click 'Add' which will move them to the 'Columns in List' on the right.

Ensure that only the following fields are added to the 'Columns in List' section:

  • Learner Code
  • Surname
  • Forename
  • Date of Birth
  • M/F
  • Reg Grp
  • Year

Select 'OK' once all columns have been added to the 'Columns in List' section.

The list can then be saved for convenience so it can be selected when required. Once saved, the list will be displayed.

The next step is to export the data from the list view. Click the 'Select All' tick box at the top of the grid to select all the records.

At the bottom of the screen, click 'More Actions' and select 'Export All'.

Choose the option to export to a CSV file and the data will be exported. The application associated with a CSV file (normally Microsoft Excel) will then be opened displaying the exported data.

 

Preparing the CSV file for Import

The next step is to amend the CSV file to make it suitable for importing into the library system. 

Open the file with Notepad and change the headers in the top line.

  • Forename = Forename
  • Date of Birth = DateofBirth
  • Reg Grp = TutorGroup
  • Learner Code = ManagementSystemID
  • Year = YearGroup
  • M/F = Gender
  • Surname = Surname

Save the file in CSV format.

If you are importing any additional fields with your CSV the headers will need to be changed to match the library system. 

Before importing the CSV, please ensure that all leavers have been removed

When you come to import the CSV file, select the 'WBLS' option when prompted. 

 

Tips

- When editing the CSV, ensure that all headers are formatted as single words without spaces.

- Use Notepad or a similar text editor rather than Excel, as Excel may alter values due to formatting preferences.

- If you are unsure which management system ID number has been used previously, check the borrowers table and review the details within an individual borrower record.
